JOB TITLE: HR Officer

LOCATION : Poland (remote)

 

JOB SUMMARY

We are looking for a proactive and detail-oriented HR Officer to join our international HR team. In this role, you will support end-to-end recruitment processes and HR administration across the EMEA region (26 countries), ensuring a seamless employee experience throughout the full employee lifecycle. This includes tasks from posting job ads and scheduling interviews to preparing contracts and managing onboarding activities. You will also contribute to HR systems management (including MySource), personnel file accuracy, and compliance with internal standards and local legislation.

ESSENTIAL DUTIES

  • Manage end-to-end recruitment coordination, including job postings, screening support, candidate communication, interview scheduling, and feedback collection.
  • Support hiring managers and recruiters throughout the recruitment cycle, ensuring a positive candidate experience at each touchpoint.
  • Create and send offer letters and coordinate pre-employment checks, contract preparation, and documentation.
  • Prepare HR documentation, ensuring compliance with local labor laws.
  • Coordinate onboarding and offboarding activities in collaboration with hiring managers and shared services.
  • Maintain and update HRIS (e.g., MySource) and ATS systems with accuracy and timeliness.
  • Support personnel file management and HR data integrity across platforms.
  • Track and report recruitment KPIs and metrics, identifying opportunities to improve efficiency and candidate experience.
  • Assist with compliance reporting and documentation for audits and works councils.
  • Contribute to internal HR communication efforts, such as newsletters or announcements.
  • Help ensure the smooth daily operation of HR processes across countries and teams.

MINIMUM QUALIFICATION REQUIREMENTS

 

Education

Bachelor’s degree in Human Resources, Business Administration, or a related field. Equivalent education and/or experience may be considered.

 

Experience

  • Minimum of 1–2 years of experience in an HR support or coordinator role, ideally in an international and fast-paced environment.
  • Experience working with HR systems (e.g., MySource, Workday, or similar platforms) and applicant tracking systems (ATS) is a plus.

 

Skills

  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • High level of accuracy and attention to detail.
  • Strong interpersonal and communication skills; able to interact with diverse stakeholders across regions.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency in Microsoft Office and HR software tools.
  • Fluent in English; additional European languages are an asset.
  • Tech-savvy and eager to learn new tools or systems.
  • A proactive, solution-oriented mindset focused on continuous improvement.
