JOB TITLE: Leave Administration Specialist – U.S. & Colorado FAMLI Focus
JOB SUMMARY
The Leave Administration Specialist is responsible for managing and administering employee leave of absence programs across the U.S., with a specialized focus on Colorado’s Family and Medical Leave Insurance (FAMLI) program. This role ensures compliance with federal and state leave laws, provides guidance to employees and managers, and supports the organization’s commitment to employee well-being and legal compliance.
ESSENTIAL DUTIES
Leave Program Administration
- Administer leave of absence programs including FMLA, Colorado FAMLI, ADA, military leave, short/long-term disability, and company-sponsored leave policies. Serve as the subject matter expert on Colorado FAMLI regulations, including eligibility, wage replacement, documentation, and coordination with other benefits.
- Manage leave cases from intake through return-to-work, supporting HR Business Partners and managers, and ensuring timely communication and compliance with legal requirements. Coordinate with payroll, benefits vendors, and HRIS to ensure accurate leave tracking and benefit payments.
Compliance & Documentation
- Apply federal and state leave laws, including FMLA, ADA, USERRA, and Colorado-specific regulations.
- Collaborate with legal, HR, and Benefits team to update policies and laws as regulations change.
- Maintain accurate and confidential records in accordance with HIPAA and internal policies.
- Ensure timely submission of required documentation and reporting to state agencies and internal stakeholders.
Employee & Manager Support
- Provide guidance and support to employees and managers throughout the leave process.
- Serve as a point of contact for employees and educate employees on their rights, responsibilities, and required documentation under various leave programs.
- Support ADA interactive process and coordinate with managers and HR Business Partners on reasonable accommodation requests.
- Facilitate return-to-work planning, including light-duty and workplace accommodations, and ensure smooth transitions post-leave.
Process Improvement & Reporting
- Identify opportunities to streamline leave administration processes and improve employee experience.
- Generate reports and metrics related to leave utilization, compliance, and trends.
- Support audits and investigations related to leave cases and ensure program integrity.
MINIMUM QUALIFICATION REQUIREMENTS
- Associate’s or bachelor’s degree in human resources, Business Administration, or related field.
- 3+ years of experience in leave administration, with direct experience managing FMLA and Colorado FAMLI cases.
- Strong understanding of federal and Colorado-specific leave laws and compliance requirements.
- In-depth knowledge of and experience with coordination of benefits (e.g., STD, LTD, FMLA) with FAMLI.
- Experience with HRIS and leave management systems; Workday experience preferred.
- Excellent communication, organizational, and problem-solving skills.
- Ability to handle sensitive information with discretion and professionalism.
Preferred Attributes
- Experience coordinating with third-party administrators and state agencies.
- Bilingual (Spanish/English) a plus.
- Certification in leave management or HR (e.g., SHRM-CP, PHR) preferred.
PHYSICAL REQUIREMENTS
Typical Office Environment requirements include: reading, speaking, hearing, close vision, traverse, bending, sitting, and occasional lifting up to 20 pounds.
Target Pay Range: $59,500.00 to $74,400.00 - Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data
Target Bonus on Base: 7.0%
