JOB TITLE: Executive Assistant, Commercial Excellence



Under minimal supervision, provides project and executive support to the Commercial Excellence Leader, Corporate Communications Director and rest of the Commercial Excellence organization as needed.  Responsible for managing day to day responsibilities, onsite meeting/event planning as needed and special projects in support of the Commercial Excellence organization. 



  • Proactive and daily calendar management, resolving conflicts and prioritizing new requests (some urgent)
  • Develop agenda and manage logistics for monthly commercial leadership team meeting, monthly commercial excellence staff meeting, and other critical meetings as requested
  • Lead coordination and provide support for onsite events and meetings; including the testing and management of conference room technology, making arrangements for meals and supplies, supporting agenda and content development, etc
  • Arrange travel details and manage timely expense reconciliation
  • Plan team building and cross-functional events; booking reservations, making arrangements, managing the details and coordinating activities for participants
  • Establish, implement, and maintain procedures and systems for processing work, various administrative tasks, and projects
  • Order business supplies for onsite and remote associates as needed
  • Remain aware of different company schedules and requirements, ex. annual planning or performance management deadlines, integrating into the calendar and ensuring time is available for on-time completion
  • Identify and take the initiative to implement continuous improvement opportunities
  • Anticipate various needs and potential issues before they occur, proactively working to plan for and/or address in advance
  • Responsible for the commercial excellence superhero awards program by soliciting nominations for established awards, following-up to meet established deadlines, finalizing list of winners with commercial leaders, communicating award winners and coordinating award for winners on a bi-annual basis
  • Support the corporate social responsibility (CSR) process within the Corporate Communications Team with various internal and external tasks, ex. sending notification letters and doing so in a timely manner
  • Review CSR grant submissions on a weekly basis to ensure they are within company guidelines, submitting for final approval, processing the payment so that checks can be sent to the grant winner and regularly maintaining information on the grant site
  • Process purchase orders and payments as needed, ensure annual contracts are renewed by expiration timeframe
  • Manage other projects and requests as needed
  • Communicate professionally and positively with cross-functional team members and with other onsite personnel
  • Regularly handle information and requests with discretion and in a confidential manner



  • Plan and provide onsite support for cross-functional meetings on behalf of the commercial organization
  • Provide short-term support of other visiting Commercial Executives while working onsite in Lakewood
  • Help with training other new administrators and occasionally filling in when someone is out of the office





Bachelor’s degree or, equivalent of education and experience sufficient to successfully perform the essential functions of the job may be considered.



  • Minimum 7 years’ experience
  • Experience working in a global and hybrid working environment
  • Professional certifications or equivalent experience in working with senior level executives preferred

  • Situational Adaptability:  Able to demonstrate flexibility and adaptability, remain calm and solution oriented under pressure, adjust working style based upon situation or stakeholder, acts as an extension and representation of commercial excellence executive
  • Tech Savviness:  Familiar with suite of Microsoft products (esp. Microsoft Teams, Outlook, PowerPoint), willingness to learn new technology, able to support others when questions or issues come up and make recommendations to others for better utilization
  • Instills Trust:  Follows through on commitments, keeps information in confidence, responsive, respectful of others, models high standards of honesty and integrity
  • Optimizes Work Processes:  Identifies opportunities for improvement or simplification, develops efficient workflows, collaborates well with others to implement and maintain improvements


An equivalent competency level acquired through a variation of these qualifications may be considered.



Typical Office Environment requirements include: reading, speaking, hearing, close vision, walking, bending, sitting, and occasional lifting up to 20 pounds.

Target Pay Range:  $58,300.00 to $72,900.00  -  Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data
Target Bonus on Base:  7.0%
